
VENDORS
The 2025 Region II EMS Directors Association Annual Conference will be held November 6-7, 2025 at the Park Vista Hotel in Gatlinburg, TN. The 2024 conference saw over 275 attendees and an additional 40 vendors. We are planning for similar numbers for the 2025 conference. DEADLINE for vendor registration and payment is October 1, 2025 to allow time for printing of appropriate signage and advertising according to sponsorship.
Vendor Location Details

Vendor set up is in 2 large rooms and in the hallway adjacent to the conference meeting area

Vehicle vendor set up is in an additional large exhibit hall (see vehicle fee schedule and benefits description) and/or in an outside space near the rear hallway doors adjacent to the meeting room.

Indoor vehicle display space limited to 8 vehicles (ambulances preferred).

Indoor spaces (1 per vendor) are committed in order received to vehicle vendors who send in their registration with payment.

If the 8 indoor spaces are not confirmed by October 1, the remaining spaces will be made available and will require an additional fee. If one vendor requests display of more than one vehicle, an additional fee will also be required.

Region II EMS Directors Association reserves the right for final approval as to the appropriateness of any vehicle.

Vendor Set-Up

Wednesday, November 5 – set-up will be available 1:00 pm to 6:00 pm

Thursday, November 6 – set-up will be available beginning at 6:30 am

Vendor Space Cost

Basic vendor space registration begins at $600 – fee includes 1 table/2 chairs, electrical available

Additional tables available at an additional cost of $100/each

Vendor sponsorship is limited to one (1) vendor per space

Diamond, Platinum, Gold and Silver sponsorships are available and include additional benefits as outlined on sponsorship levels description page

Vehicle indoor display exhibit hall – $1,200 and includes Gold sponsorship benefits
A limited number of guest rooms are available at the Park Vista for vendors and are at the vendor representative’s expense. Early hotel registration is strongly recommended.
